Privacy Policy

This policy explains what personal information we collect, why we collect it, and what your rights are. It applies to our website, our enquiry and booking process, and our catering services.

1. Who we are

1.1. SPQR PIZZA LTD, trading as Taverna Catering, is the "data controller" for the information described in this policy. We are registered in England and Wales, company number 12740486.

2. What information we collect

When you enquire or book:

• name, email address, telephone number, and company name where relevant
• event details: date, venue address, guest numbers, service style, timings
• your menu selections and event preferences
• your on-the-day contact and their phone number
• billing details and payment records (we do not store full card numbers)
• correspondence between us

Dietary and allergy information:

• allergies, intolerances and dietary requirements you tell us about, for you or your guests

When you use our website:

• pages viewed, approximate location, device and browser type, and how you reached the site
• information you enter into our enquiry and booking forms

If you work for us:

• contact details, right-to-work and identity documents, training and certification records, availability, shifts worked and payment records

3. Health information — an important note

3.1. Information about allergies, intolerances and medical dietary needs is special category data under UK GDPR, because it concerns health. We treat it with particular care.

3.2. We use it for one purpose only: to prepare and serve food safely at your event.

3.3. Our lawful basis is your explicit consent, given when you provide it to us on our booking form or by email. Where a guest's safety is at immediate risk, we may also rely on protecting someone's vital interests.

3.4. We share it only with the kitchen and service staff who need it to keep your guests safe, and we do not use it for marketing or any other purpose.

3.5. You can withdraw consent at any time by contacting us — but please note that if you withdraw it we may be unable to cater safely for the person concerned.

4. Why we use your information

We use your information as follows, with our lawful basis for each in brackets:

• responding to your enquiry and preparing a quotation (legitimate interests, and steps taken before a contract)
• managing your booking and delivering your event (performance of our contract with you)
• preparing food safely for allergies and dietary needs (your explicit consent, and vital interests where urgent)
• taking payment and keeping accounting records (contract, and legal obligation)
• sending service messages about your event (contract)
• sending occasional marketing about our services (consent, or legitimate interests for existing clients)
• understanding how our website is used, to improve the site and our advertising (consent — see our Cookie Policy)
• keeping food safety, allergen and staff training records (legal obligation)

5. Marketing

5.1. We only send marketing emails where you have asked us to, or where you are an existing client and the message relates to similar services.

5.2. Every marketing email has an unsubscribe link, and you can opt out at any time by emailing info@tavernacatering.com. Opting out of marketing does not stop service messages about a booking you have made.

6. Who we share your information with

6.1. We do not sell your personal information. We share it only with organisations that help us run our business:

• HubSpot — our CRM: enquiries, quotations and booking records
• Typeform — our enquiry and event detail forms
• Make.com — connecting our systems so bookings and details flow between them
• Microsoft 365 — email and calendars
• Google Analytics — understanding website use
• Webflow — hosting our website
• Railway — hosting our internal staff scheduling system
• our payment providers and bank — taking and reconciling payment
• our accountant — bookkeeping and tax

6.2. Our staff, including agency staff working at your event, see only what they need to deliver it safely.

6.3. We may disclose information where we are legally required to — for example to a food safety authority, or to establish or defend a legal claim.

7. Where your information is held

7.1. Some of our suppliers are based outside the UK, or store data outside it. Where information is transferred outside the UK, we rely on the safeguards required by UK data protection law — an adequacy decision, or standard contractual clauses with the supplier.

8. How long we keep it

We keep information only as long as we need it:

• enquiries that do not become bookings — 2 years from last contact
• booking and event records — 7 years after the event (tax and legal claims)
• financial and accounting records — 7 years
• allergy and dietary information — kept with the event record; not reused for other events without you telling us again
• marketing contacts — until you unsubscribe, then a suppression record so we do not contact you again
• website analytics — up to 14 months
• staff records — 6 years after employment or engagement ends

9. Your rights

9.1. You have the right to:

• be told how we use your information — this policy
• access a copy of the information we hold about you
• correct it if it is wrong
• erase it, where we no longer need it
• restrict or object to how we use it, including objecting to marketing at any time
• portability — receive certain information in a machine-readable form
• withdraw consent where we rely on consent

9.2. To exercise any of these, email info@tavernacatering.com. We will respond within one month.

9.3. There is no charge, and we will not treat you differently for asking.

10. Complaints

10.1. If you are unhappy with how we have handled your information, please tell us first at info@tavernacatering.com so we can put it right.

11. Changes to this policy

11.1. We may update this policy. The version in force is the one published on this page, with the date shown below.
